Week ticket

Includes

  • all activities during the conference
  • three meals a day: from dinner on day 1 until breakfast on day 7 + making your lunch for the last day

Camping options

  • Camping in your own tent. Bring your own camping equipment (tent, mat, sleeping bag), towels and toiletry.
  • Camping in your own campervan (Water and electricity connection is not provided)
  • Renting a glamping tent for 2 or 4 persons

Dormitory bed at the venue

  • In 2 buildings are dormitories with 4 to 10 beds
  • Shared toilets and showers in the hallway
  • Bed with pillow is provided

Bed options

  • Bring your own sheets, blanket or sleeping bag
  • Rent sheets and duvet for 25 EUR per bed. Afterwards they will be donated to charity

Don’t forget to bring towels and toiletry.

We will try to accommodate people who register together in the same room.

Dormitory beds are not available for weekend tickets.

Accommodation outside the venue

In Leuven there are several hotels, hostels and airbnb’s.

In this case we ask you to arrange your accommodation yourself.

Financial Accessibility

We understand that the conference fees may be a barrier for some people. To help ensure that everyone has the opportunity to participate, we have a social fund. With the social fund we can reduce the conference fee for participants who face financial barriers. Money in the social fund comes from:

  • Donations: Those who can afford to contribute can donate to support others in attending the conference. Every contribution, no matter the size, helps create a more inclusive conference. The option to donate is included in the registration form. We hope this initiative fosters a sense of solidarity within the community. Thank you for helping make IDEC@EUDEC 2025 accessible to all
  • Sponsoring: A part of money of sponsors goes to the social fund.

Is the conference fee a barrier for you to attend the conference and would you like a social discount? We warmly invite you to contact info@eudec2025.org and ask for a social discount. The exact reduction amount depends on the available money in the social fund and the amount of people who ask for a social discount.

Parent accessibility & childcare

We support parents to fully participate in the conference:

  • Volunteer group childcare is available for children up to 6 years old during daytime workshop hours.
  • For individual childcare needs (for babies, during evening workshops, or …), we can connect you with other conference participants who are willing to provide one-on-one care while you attend a workshop. Once connected, you can arrange the details directly with them.
  • (Older) children are warmly welcomed to participate in the open space program, which includes also various fun activities, or to play freely on the venue.

This creates a caring community where parents can join sessions of their choice while knowing their little ones are in good hands.

Language accessibility

The main conference language is English. However, we understand that not everyone is equally comfortable speaking or understanding English.

You can indicate in the registration form if you would like language support and which languages you speak. We’ll help connect you with other participants who can assist with informal translation.

While we cannot provide professional translation services, we aim to create a supportive multilingual community where everyone can participate meaningfully.

If you have any specific accessibility needs, please don’t hesitate to let us know. We are committed to making every effort to accommodate you, so you can fully enjoy the conference.

At the venue, there are accessible toilets and showers available for wheelchair users. 

Together, we’ll ensure everyone can fully participate in the conference.

  • 48 hours of volunteering
  • Volunteering can be done from 28th of july to the 9th of August (before, during and/or after the conference
  • Free conference week ticket (activities, camping and food included)
  • Free accommodation and food before and after the conference

Voluntering options

  • Volunteering before the conference: from Monday 28th until 1st of August (full days)
  • Volunteer after the conference: from Thursday 7th of August until Saturday 9th of August (full days)
  • Volunteering during the conference: from 1-7 August (4 hours a day, 24 hours in total)

In the registration form you can choose your preferred days of work. We will get in touch with you to match the conference organisation needs.

You pay extra if you choose for a dormitory bed or a glamping tent during the conference
